Student Success Portal: Summer 2018 updates

The Student Success Portal, powered by Starfish, is starting summer with additional features, updates and resources:

  1. Revised flag closure reasons
  2. Revised Early Term Progress Survey items
  3. New flag – Concerning Grades: Incomplete (I)
  4. New student feature – Raise Your Hand
  5. New student promotional video
  6. New feature – International Student Success Plan

1. Revised flag closure reasons

Based on feedback from the Webster community, new flag closure reasons are now available. Previously, individuals clearing flags were asked to select from the following options when clearing a flag:

  • The concern was successfully addressed.
  • The concern was not successfully addressed.
  • The concern is no longer relevant.
  • The flag was raised by mistake.

To provide greater clarity and manage expectations for clearing active flags, closure reasons have been modified to the following:

  • The student responded to outreach attempts.
  • The student did not respond to outreach attempts.
  • The concern is no longer relevant.
  • The flag was raised by mistake.

Ideally, all flags are reviewed, addressed, and cleared by the appropriate individual within 2-3 days of it being raised. All flags still active at the end of the fall, spring, or summer semesters are administratively bulk cleared.

2. Revised Early Term Progress Survey items

A survey regarding the timing of and items included in the Progress Surveys was distributed to faculty who submitted at least one Spring 2018 survey. Based on the survey feedback, the timing will remain as-is. Early Term Progress Surveys will continue to be released the Friday of week 3 based on the undergraduate calendar, and Midterm Progress Surveys will continue to be released the Friday of week 8 of semester-long courses based on the undergraduate calendar. Both types of surveys are open for a 10-day window and have been released online and throughout the United States. Roll-out to non-US campuses will occur in Fall 2018.

3. New flag – Concerning Grades: Incomplete (I)

A new flag is now active in the Student Success Portal – the Concerning Grades: Incomplete (I) flag launched on June 1, 2018. It is applied to any student who has received an incomplete grade in the past year. Students with an active incomplete receive a notification to alert them of this grade and to remind them of the steps necessary to resolve the incomplete. No action is needed from faculty or advisors to resolve the flag. Once the incomplete changes to a grade (including ZF or W), the flag will auto-clear.

Additionally, the Registrar’s Office is uploading Electronic Incomplete Grade forms to the students’ files in Starfish, providing an opportunity for advisors and faculty to discuss the terms of the incomplete grades with the students and to help keep the students on track for academic success. This flag is designed to reduce the number of incompletes that become ZFs and to increase student communication about the incomplete grade process.

4. New student feature – Raise Your Hand

A new feature for students is now available in the Student Success Portal. Similar to a referral, the Raise Your Hand option allows students to request assistance from a particular office or team. It is available for students within their Student Success Portal dashboard. The request will route to the appropriate person or office. Students can add additional comments. Raise Your Hand options include:

  • I Need Help from Counseling and Life Development – routes to Counseling and Life Development
  • I Need Help from the Bursar’s Office – routes to the Bursar’s Office
  • I Need Help in a Course – routes to the instructor of record for the selected course
  • I Need Help Registering for Classes –  routes to the student’s assigned advisor
  • I Need Help with Financial Aid – routes to Financial Aid
  • I Need Help with WorldClassRoom (Not My Actual Course) – routes to the Online Student Success Coaches
  • I Want More Information about Student Employment – routes to Student Employment
  • I Want More Information about Study Abroad – routes to Study Abroad
  • I Want to Set up Accommodations – routes to the ADA Coordinator

The receiving person or office should take care to prioritize this request and clear it with comments.

5. New student promotional video

A new student promotional video, Introduction to Webster’s Student Success Portal, is now live! Units and campuses are encouraged to incorporate this video into new student orientations, new student advising appointments, welcome emails, social media, and other venues to help promote the Student Success Portal to all students.

6. New feature – International Student Success Plan

Student Success Plans in the Student Success Portal are a way of applying a checklist or list of to-dos to a specific student or population. The first iteration of this feature has been launched with the New International Student Success Plan. The plan, which is being applied to new graduate and undergraduate international students on F1 and J1 visas, provides a concrete list of actionable items that the students need to complete. In this particular plan, examples of to-do items include the following:

  • Complete Before You Board: International Student Orientation Online.
  • Complete Immigration Check-In.
  • Submit your Health Insurance Enrollment Form.

Success Plans will be expanded to other student populations as well and are designed to provide concrete steps that can impact success and clarify expectations for students.

Looking Ahead

The Starfish Implementation Team is actively working to build out additional features of the platform designed to enhance student, faculty, and staff experiences. Designed to impact retention and graduation, the Student Success Portal also provides a place for centralized notes, documenting and scheduling appointments, communicating with students, and more.
